Two pages, two jobs

This is the process. The category is explained elsewhere.

If you want to know what the luxury tier contains, how thin the fleets are, what deposits look like and when renting is the wrong call altogether, read the category page first. This page assumes you have decided and covers how the booking is actually executed.

Luxury car rental

What qualifies, how limited fleets behave, deposits, mileage caps, exotic versus luxury, and an honest view of cost.

Driver requirements

Age floors, licence-held periods, card rules and deposits that apply before any premium booking can be confirmed.

Corporate and long-term

Negotiated account rates, 30-day monthly products, scheduled swaps and consolidated billing, quoted by phone.

How this page differs from the luxury category page

Our luxury car rental page answers "what is this tier and is it right for me": which vehicles fall into it, why the fleets are thin, what deposits and mileage caps look like, where exotic sits, and when the honest answer is not to rent at all. This page answers the next question: "I want it — how does the booking actually work?" It covers model requests, the small number of genuinely guaranteed-model products, corporate and long-term structures, delivery and hand-over services, one-way logistics at this tier, and how far ahead each of those needs to be arranged. There is deliberately no overlap in the tables or the FAQs.

Requesting a specific model

The default in car rental is that you book a class and the branch allocates a vehicle from it. At the premium and luxury end, clients usually have a model in mind, and there are three honest tiers of outcome.

A preference is a note on the reservation. It costs nothing, it is visible to the branch when your name comes up, and it is honoured when the car is on the lot. It changes the odds and guarantees nothing. A managed request is what our desk does when the model genuinely matters: we contact the branch or the supplier trade desk ahead of collection, confirm what is physically in the pool for your date, and where possible have the vehicle noted against your reservation. It still is not contractual, but it converts far more often, and it gives you a truthful answer days before you travel rather than a surprise at the counter. A guaranteed model is a distinct product, covered below.

Two practical notes. Colour is almost never obtainable outside specialist operators, so treat it as a preference at best. And transmission matters abroad: in much of Europe and Asia, automatic is the exception rather than the rule, and an automatic in a premium class must be confirmed explicitly rather than assumed.

Where guaranteed-model bookings genuinely exist

A guaranteed-model product commits the supplier to a specific vehicle rather than a class. It exists in three places: specialist and exotic operators, where it is the normal model because the fleet is individually listed; a minority of mainstream suppliers who sell a named-model line at the top of the fleet in selected markets; and certain long-term and corporate arrangements where a vehicle is effectively assigned to you for the period.

The trade-offs are consistent. The rate is higher, because the supplier has taken a car out of general inventory. The cancellation rule is stricter, often with a real charge, for the same reason. And the lead time is longer. When we quote one, we state on the confirmation exactly what is guaranteed — model and specification — and exactly what is not, along with what happens if the vehicle is off the road at collection. If a supplier will not put the guarantee in writing, we will tell you it is a request, not a guarantee, however it was described to us.

Corporate accounts and long-term rentals

Two structures sit outside the retail rate card, and both are quoted by phone because both depend on the pattern of use rather than a single set of dates.

Corporate rates attach to a negotiated account. The commercial shape is usually a discount that holds across locations, an included additional driver, a defined insurance configuration so travellers are not making coverage decisions at counters, and consolidated billing so expense reconciliation is not thirty separate receipts. For a company sending people out regularly, the insurance standardisation is frequently worth more than the discount, because it removes the most expensive variable — an employee declining a waiver they did not understand.

Long-term rentals of roughly 28 to 30 days and above move onto a monthly product. Per-day, it is materially cheaper than chaining weekly bookings, and it normally includes a scheduled vehicle swap so the car can be serviced without interrupting you. It suits relocations, extended project work, a vehicle off the road for an insurance repair, and seasonal stays. Watch three things: whether the monthly rate carries a mileage allowance, what happens if you return early (some products re-rate to weekly or daily pricing for the period used), and how the swap is arranged. We put all three on the confirmation.

Delivery, collection and meet-and-greet

At this tier, the hand-over is a service rather than a queue, and three variants are worth knowing.

  • Delivery and collection. The vehicle is brought to a hotel, office or residential address and collected from the same or a different address. Quoted as a separate fee reflecting distance and staffing, it needs a confirmed address, a time window and a person present with the licence and the credit card. It is the normal model for specialist operators and available from some mainstream suppliers in some markets.
  • Airport meet-and-greet. A representative meets you in or near the terminal with the paperwork, so you bypass the counter queue. Availability varies by airport, it usually carries a fee, and it requires your flight number so the timing follows your actual arrival rather than the schedule.
  • Off-hours hand-over. Arranged collection outside normal branch hours, at a premium. This is the correct answer to a late arrival at a branch that closes early, and it is far better than the after-hours drop box on the return leg, where the risk position is less favourable.

All three depend on a real address and a real time. If your flight is on the same booking file with us, we hold the whole itinerary together and adjust the hand-over when the schedule moves, which is the single most common reason a delivery goes wrong when it is arranged in isolation. Give us the delivery address yourself — we do not book your accommodation, so we only know where to send the car if you tell us.

One-way logistics on premium classes

A one-way on a volume class is a pricing question. On a premium or luxury class it is an approval question first. The receiving branch has to be willing to take a vehicle it may struggle to re-rent, so approval is granted route by route and the repositioning fee is typically higher than on standard classes. Some routes are refused outright.

Our approach is to check both ends before quoting: whether the collection branch will release the class one-way, whether the destination branch will accept it, and what the fee is. Where the answer is unattractive, the practical alternatives are a round trip paired with a one-way flight back, or two separate rentals with a break in between — both of which we will price alongside so you can see the comparison rather than take our word for it.

What to prepare before we can confirm

Premium bookings fail at the counter for the same reasons as any other rental, but the thresholds are higher. Have ready: a licence held for the longer requirement, often two years rather than one; a credit card in the main driver name with genuine headroom, because a hold in the high hundreds to low thousands will sit against it for several business days after return; photo identification, and a passport if you are visiting; an International Driving Permit where the destination expects one; and, for a corporate rental, the account number and an authorisation letter. Specialist operators will additionally want proof of your own auto insurance with limits stated, and may run their own checks.

Verify your insurance position before you decline anything. Many card benefits and personal policies exclude vehicles above a value threshold and exclude high-performance models by name, which is precisely the inventory you are booking. The eligibility mechanics in full are on book car rental; our own fees, where any apply, are in the service fee schedule, and the agency terms are in our car rental terms.

Lead times, realistically

Premium classes are usually obtainable within a few days in most US markets. Luxury in a busy market wants two to four weeks, and considerably more around large conferences, sporting fixtures, graduation weekends and holidays, when a metro area luxury pool of a dozen cars is simply gone. Guaranteed-model bookings, delivery arrangements and anything sourced from a specialist operator should be treated as a multi-week task. A same-day luxury request is occasionally possible and frequently is not; we will tell you within the call which of those you are looking at rather than holding a hopeful reservation.

How the booking runs

From enquiry to hand-over

The sequence our ground desk follows on a premium or luxury file.

  1. Describe the requirement, not the classOccasion, passengers, luggage, distance, who is driving and where the car has to end up. That determines whether premium, luxury or specialty is the correct class — and whether the trip needs a rental at all.
  2. We check live inventory at branch levelNot just class availability, but what is physically in the pool at that location for your dates, including whether a one-way is approved at both ends.
  3. You get the full terms in writingRate, mileage allowance and overage rate, geographic restrictions, deposit amount, age and licence requirements, and whether the model is guaranteed or requested.
  4. Hand-over is arranged, not assumedCounter collection, airport meet-and-greet, delivery to an address or an off-hours hand-over, with your flight number attached where timing depends on an arrival.
  5. We stay on the file to the returnSchedule changes, extensions, swaps on long-term rentals and any post-return charge query are handled through the supplier trade channel on the same booking reference.
Answers

Premium booking questions worth settling first

Answered against the rules that actually govern the booking — the carrier's filed fare, the rental agreement, the regulation — rather than from general advice.

Can I book a specific model rather than a class?

Sometimes. A minority of suppliers and specialist operators sell a genuinely guaranteed-model product, usually at a premium and usually with a stricter cancellation rule because a named vehicle is taken out of inventory for you. Everywhere else, the honest position is that a model request is a request: it is attached to the reservation and honoured where the branch can, and we will tell you which of the two you are getting before you pay.

How far ahead should I book a premium or luxury class?

In a busy market, two to four weeks is a sensible floor for luxury, and longer around major events, conferences and holiday weekends. Premium classes are usually available at shorter notice. A guaranteed-model booking, delivery to an address, or anything involving a specialist operator needs longer still — treat a week as the absolute minimum and plan for more.

Do rental companies deliver the car to a hotel or home?

Some do, in some markets, and specialist operators frequently do. Delivery is quoted as a separate service with a fee that reflects distance and staffing, and it requires a confirmed address, a time window, and a person present with the licence and card. It is genuinely useful when the alternative is a shuttle with luggage or an early start, and it is the normal model for exotic rentals.

What is meet-and-greet at an airport?

An arranged hand-over where a representative meets you in or near the terminal with the paperwork, rather than you finding the counter and joining the queue. Availability varies by airport and supplier, it usually carries a fee, and it needs the flight number so the timing tracks your actual arrival. Give us the flight number at booking — if we hold your flight too, we monitor it on the same file.

How do corporate and long-term rates work?

Corporate rates sit on a negotiated account and typically include an additional driver and a set insurance configuration, with a discount that holds across locations. Long-term rentals of roughly 28 to 30 days or more move to a monthly product that is materially cheaper per day than repeated weekly bookings, and often includes a scheduled vehicle swap for servicing. Both are quoted by phone; call +1-888-555-0119 and describe the pattern of use.

Can I collect at one city and drop in another on a premium class?

Yes, but the logistics are harder than on volume classes. Premium and luxury one-ways are approved branch by branch, because the receiving location has to want the car, and the repositioning fee is usually higher. We check both ends before confirming. On some routes the practical answer is a round trip plus a one-way flight.

What documentation should I have ready for a premium booking?

Licence held for the longer of the supplier requirement (often two years), a credit card in the driver name with headroom for a hold in the high hundreds to low thousands, photo ID, and for corporate rentals an authorisation letter and the account number. For specialist operators, add proof of your own auto insurance with its limits stated. Full eligibility detail is on book car rental.

Are these bookings cancellable?

Standard premium and luxury reservations on pay-at-counter rates generally cancel free until shortly before pick-up. Guaranteed-model bookings, delivery arrangements and specialist operator rentals commonly carry a cancellation charge, sometimes a substantial one, because a named vehicle and a staffed hand-over have been committed. The applicable terms are read to you before payment and set out in our refund and cancellation policy.
